Scan products and update warehouse inventory

Verify a SKU or barcode, choose the right warehouse, and use Set To, Add, or Subtract without confusing a stock count with a change.

The short answer: Open Scanner, scan or type the SKU/barcode, and select Verify. Confirm the matched product, then choose Warehouse, Action, Qty, and Pick Location before selecting Apply Update. Use Warehouses to create the location first.

Before scanning

Create the location and identify the product

Scanner includes Inventory and Warehouses shortcuts. Warehouses opens the full Warehouses & pickup locations page. Give each location a useful name and the correct shipping/pickup mode so staff can distinguish storage from a customer collection point.

A warehouse is the physical place holding the stock. Pick Location identifies a shelf or bin inside it, such as A-03-B2. Keep SKU and barcode values attached to the exact seller product or variation. If two similar products are easy to confuse, inspect the returned name and image before updating anything.

Find stock

Scan or type, then verify the result

    Open Scanner

    Use a handheld scanner in the barcode/SKU field, type the value, or select Open Scanner to use an available phone camera.

    Select Verify

    Check the returned product name, image, SKU, barcode, total stock, warehouse rows, and pick locations.

    Resolve a missing or wrong match

    Open Inventory and inspect the identifier and variant. Do not adjust a similar-looking listing to work around a mismatch.

    Choose the warehouse

    Select the location where the physical count or stock movement actually occurred.

Quantity

Choose Set To, Add, or Subtract deliberately

Use whole-number quantities. Add and Subtract require a positive amount, and Subtract cannot exceed the stock in the selected warehouse. The scanner has no separate transfer action; follow your established inventory process for a move between locations.

Check the result after Apply Update

    Confirm the four fields

    Check Warehouse, Action, Qty, and Pick Location against the physical stock.

    Apply Update

    Select once and wait for the result.

    Review the refreshed record

    Verify the selected warehouse quantity, pick location, and total stock. If they differ from the expected result, stop and check the last action before repeating it.

Avoid duplicate changes Repeating Add or Subtract changes the stock again. Repeating Set To replaces the count again. Coordinate with any connected inventory system before editing the same product in two places.
Troubleshooting

Use the manual field when camera scanning is unavailable

  • Allow camera access only when you intend to scan; close the scanner when finished.
  • If the browser has no usable camera support, type or use a handheld scanner in the input field.
  • If no warehouse can be selected, create a location through Warehouses first.
  • If a save is denied, confirm the account has permission to edit this seller inventory and location.

Does Set To 5 mean add five?

No. Set To replaces the selected warehouse count with five. Add increases the count by five.

Does scanning alone change inventory?

No. Verify displays the matching record. Apply Update performs the selected inventory change.
